JUPI Unit Holds Workshop on Preparation and Migration of Journal OJS to Udayana University E-Journal Server

Jimbaran – The Workshop on Preparation and Migration of Journal OJS to Udayana University’s E-Journal Server was organized by the JUPI Unit and held at the Lecture Building Hall, Jimbaran Campus, on Friday (August 1, 2025). The event was attended by journal managers from within Udayana University (Unud) as well as from several other universities outside Unud. The workshop featured the Head of the JUPI Unit at Unud as the keynote speaker.

In his remarks, the Rector of Udayana University, Prof. Ir. I Ketut Sudarsana, ST., Ph.D., stated that the JUPI Team had previously held an audience to discuss existing issues in journal management at the university. Journals serve as a vital medium for disseminating research findings in accordance with specific academic disciplines and areas of focus. The Rector emphasized the importance of proper journal management, expressing hope that journals can function both as dissemination tools and as sources of income for the university and their respective managing units.

He highlighted the need for genuine passion in managing academic journals, noting that serving as a journal manager offers the benefit of staying informed about the latest scholarly articles and gaining broader academic insight. The Rector expressed optimism that after the migration, the journal management process would become more efficient, as the newly available server infrastructure is sufficiently robust and well-equipped.

"Let us commit to upgrading our journal systems to the current platform," said the Rector.

He added that a deadline will be set for this journal migration, and it is something that must be agreed upon collectively. As the university’s leader, he expressed strong concern for publication matters and reiterated the administration’s commitment to improving them. Moving forward, the university plans to implement an Article Processing Charge (APC) scheme, which will support journal management and help enhance overall journal quality. The Rector also encouraged journal managers to voice their concerns and challenges during the event, so that these issues can be addressed at the leadership level to support improved publication quality at Udayana University.

Meanwhile, Dr. Gede Arda, S.TP., M.Sc., Ph.D., Head of the JUPI Unit at Unud, explained that the workshop was held because many journal managers were still confused about the migration process. Through this event, the unit aimed to provide explanations, steps, and strategies for the migration. A decision has been made that all journals will be managed on a new, more responsive server. Previously, the server load under OJS was quite heavy, so the current strategy involves distributing all of Unud’s journals across four servers. Each server is intended to host no more than 35 journals.

Initially, an active journal selection process will be carried out to ensure manageable server loads. Out of approximately 150 journals, 103 have been allocated. This year, JUPI has also allocated funds to support 10 member accounts, and those interested in utilizing them are encouraged to contact JUPI staff.
